WEX: Simplifying complexity to unify a global workforce with Google Workspace and Gemini

While years of acquisitions had supported WEX’s international expansion, it also left the company with an array of disparate technologies. Collaboration tools varied across teams: Some relied on legacy on-premises systems, others used Microsoft Office 365, and a few had adopted early iterations of Google Workspace applications. These systems didn’t talk to each other, creating silos that made even basic communication between teams a challenge. This led to reduced productivity, inconsistent workflows, and difficulty aligning on a shared strategy.

"For a company like ours, which aims to act as one team globally, this environment was unsustainable," explains Driscoll. "Navigating the systems we had in place was frustrating, so we needed easy-to-use, tightly integrated solutions that would support our continued growth."

The fragmented infrastructure also had implications for security and compliance. WEX supports clients across fintech, healthcare, and global travel, so the company must safeguard sensitive data and meet strict international regulations. WEX needed a global collaboration platform that both empowered its people to work more effectively and met the highest standards for security and scalability.

WEX chose Google Workspace because it aligned with the company’s focus on simplicity. With its browser-based solutions, intuitive interface, and cross-application integration, Google Workspace addressed WEX’s immediate collaboration challenges while preparing the company for future growth. It also offered a cost-effective and secure platform for all of WEX’s collaboration needs.

Partnering with 66degrees, a Google Cloud Premier Partner, WEX rolled out Google Workspace in a phased approach, starting with corporate offices before expanding globally and across its business lines. Each phase took just two to three months and included extensive training, live and recorded resources, content libraries, and daily "Ask the Experts" sessions.

"We took an all-in approach when it came to training and support," Driscoll explains. "By offering multiple ways for employees to learn, we minimized resistance and got people on board quickly."

Through this strategic implementation, WEX achieved 100% adoption of Workspace across more than 8,000 users, including employees, partners, and third parties. "From the moment we fully migrated to Google Workspace," Driscoll says, "it felt like we had entered a new era of what collaboration could look like."

Google Workspace has now transformed how WEX operates across its global teams, making collaboration faster, easier, and more streamlined. With tools like Google Chat, Docs, and Meet, employees can collaborate in real time on everything from shared files to large-scale projects. The company hosts approximately 94,000 meetings each month on Google Meet, and around 4,400 active Chat spaces connect employees daily.

As WEX has continued to grow, Google Workspace has scaled seamlessly, helping integrate acquisitions and onboard new teams with ease. By unifying its workforce, the company is free to focus on what matters most: simplifying business for its customers. "We wanted a solution for the next generation of WEX," Driscoll says. Then, when generative AI went mainstream, WEX quickly saw the potential to enhance productivity and creativity with Google Workspace with Gemini. As part of Google Workspace, Gemini empowers employees to experiment, create, and solve challenges in new ways, within a familiar platform that preserves the company’s existing security and governance controls.

Today, over 5,000 employees actively use Google Workspace with Gemini, saving a self-reported 63,000 hours per month across tasks like drafting emails, transcribing meetings, and summarizing documents. WEX also ran employee hackathons and AI training programs to encourage new ideas, further embedding Gemini into day-to-day workflows. "Gemini puts the power of AI directly into the tools we already know and use," Driscoll says. "Its integration across Google Workspace feels natural and intuitive."

Teams are also experimenting with NotebookLM to streamline WEX’s product development. "We often reach out to our customers to learn about their experiences with our tools," Driscoll explains. "Now, we can put all of those meeting recordings and transcripts into NotebookLM and quickly analyze trends, pain points, and new product ideas that otherwise would be very time consuming to do."

Gemini also enabled WEX to prioritize security and governance as it brought generative AI to the organization. "Generative AI is one of the rare technologies that is going to be impactful to every company, at a much faster pace than any previous technology," Driscoll says. "The sooner that companies make this capability available to their employees in a secure way with proper training, the better off they’ll be."
