Innovation is necessary for businesses to succeed in a world driven by technology. However, not all companies have the technical expertise and know-how to build tools that fit their business. This is where Nineleaps comes in, to help businesses build software and provide product engineering expertise that propel ideas into fruition.

"We believe in long-term engagements and treat our customers like partners, because we want to see through the entire lifecycle of a product," explains Divy Shrivastava, Co-founder and CEO of Nineleaps. "Our business isn't about doing one quick project and moving on to the next, rather it's a journey we embark on alongside our customers to achieve their mission."

To facilitate these ongoing partnerships and form new ones, Nineleaps relies on Google Workspace as the backbone of its organization. It has been using Google Workspace since the company launched in 2014, but as the organization grew from a team of 14 to almost 500 employees today, its leaders made the decision to upgrade the company's accounts to Workspace Business in 2019 to enhance security and employee collaboration.

He shares that even though the company uses most of the tools available on Google Workspace, colleagues rely on Gmail, Chat, and Meet for communicating with each other on a day-to-day basis.

Keeping accounts secure the hassle-free way

"We have more than 200 new candidates shortlisted everyday … all the tracking and dashboards are organized on Sheets. With so many new people coming through the HR pipelines at various stages, I don't know what we would do without this platform. As a business that works with confidential client data, maintaining a high level of security is crucial. With its security-first mindset, Google Workspace allows Nineleaps to rest assured that it meets all compliance standards. "We wanted to be ISO 27001 certified, which is covered by Google Workspace so we didn't have to go through all the paperwork required to get it." says Divy.

Even with the need for such high-level security, Nineleaps only has one headcount to manage the entire IT operations within the company. This is because the simplicity and reliability of Google Workspace takes away a lot of infrastructure work. With just a few clicks, the management can enable or disable document access for relevant people within the organization. Account managers can also access document history on Drive to see any changes made with the exact record of who did it and when. This helps the organization save on headcount, while increasing efficiency as any changes are reflected immediately.

If employees lose their mobile phone or laptop, it takes only a few seconds to erase all data and login details from the device, thanks to Endpoint, a mobile device management tool on the Workspace suite. "There have been instances where people have absconded from the organisation, sometimes with critical company information. The remote access and control enabled by Endpoint allows us to wipe all company data on their account immediately and enforce strict security protocols with ease," says Divy. The company also uses Vault to retrieve old emails when required, which has been beneficial when it comes to tracing back specific incidents.

Relying on Google Workspace for work and play

As a cloud-based company, the concept of remote working has always been an easy one to grasp since all of Nineleaps’ employees are tech-savvy and used to navigating cloud applications. So when COVID-19 resulted in lockdowns across the country, the team was equipped.

The only thing that needed to shift was people's mindset and habits. Before the COVID-19 pandemic, all of Nineleaps’ employees would work from the office. "We would carry laptops around the office, but would still gather in meeting rooms for brainstorming and quick meetings," explains Divy. However, with zero face-to-face interaction during the lockdown, meetings had to be scheduled in a more formal way to make sure everyone's time was blocked for attendance. Employees started to rely more heavily on Calendar to schedule meetings and plan their day. "What's great about Calendar is that we can easily see other people's schedules, so that we don't set up meetings that clash with another," he adds.

The agile startup also shares brain teasers frequently to keep the team on its toes. But what used to be a lunchtime activity had to be moved online. Divy shares, "We've actually hosted several hackathons now, and initially, I was quite skeptical as to how a hackathon would work with everyone sitting at home, but was surprised by the output as we saw some great ideas." He explains that connecting employees through social events, online or offline, is an important ingredient to a people-first organization. "Whether it's brainstorming for work, one-on-one performance appraisals, or social events, we found that Meet has been a wonderful tool that supports even hours of conversation."

The level of productivity at Nineleaps has increased by up to 15% since COVID-19, and although Divy could not attribute it completely to Google Workspace, he says it has certainly played a role in enabling this.

Equipped for expansion and growth

To continue servicing its customers from around the world, hiring new talents remains an ongoing priority. "We have more than 200 new candidates shortlisted everyday. We use Drive to upload and shortlist resumes, and have eight tracks for hiring with 28 collaborators that enable this process. All the tracking and dashboards are organized on Sheets. With so many new people coming through the HR pipelines at various stages, I don't know what we would do without this platform. It is truly a time-saver." says Divy. The team also creates formulas on Sheets to ensure that all candidates are categorized in the right places according to their specialization for easy reference.

Alongside talent acquisition, big plans are underway for Nineleaps. It plans to open new offices in Singapore and the US, with talks to form a joint venture with another firm in Europe. "With Google Workspace, I am confident that we can move forward and expand our teams globally with peace of mind,” shares Divy. “Having this backend support means we can focus on the business and finding the right people, knowing that we've already got the right tools in place."
