Step 1: Define your technology and business goals

Migrating to Google Workspace is a significant chance to transform your business. Identify how the migration can help your business achieve its goals — from adopting more secure tools to uncovering new ways to collaborate and get work done.

In collaboration with your Google account team and implementation partner, you will define your goals and a phased timeline to get the most out of your migration.

Step 2: Prepare your data and teams

Working with your Google account team and implementation partner, you will create your organization’s technical migration and change management plans. Together, you will analyze your organization’s source data and current solutions to calculate the estimated time needed to complete the transition. Next, you will define your phased migration approach from core IT to early adopters and global go-live. At the same time, you will work with the team to build a change management plan that will help your IT teams to become platform experts and set your employees up for success.

  • Customers often benefit from starting the process 1-2 years before the end of their licensing agreement with a legacy provider. Once a decision has been made to implement Google Workspace, it’s important to start planning the deployment. Google recommends working with a certified Google Partner to have an expert project team that focuses on Google Workspace deployments.

  • Google Workspace offers many integration first-party tools to help with existing systems. For example, legacy Office editor files can be accessed and modified. In addition, the Google Chrome webstore has third-party integrations and add-ons that are easy to install and manage for the entire organization. Google API access is also available for unique custom applications if needed.

  • The number of months it takes can vary by organization to organization with data migration being one key consideration that may extend timelines. All projects will have a planning and design phase, technical configuration, and then user onboarding. Google recommends a three-phase approach to user onboarding (Core IT, Early Adopters and Go Live).
