Google Workspace Results

20% reduction in number of employee laptops required

• Supports employees to communicate on the go, around-the-clock by accessing Google Workspace tools through their smartphones

• Eliminates time spent upgrading and maintaining physical servers, providing a more up-to-date and flexible infrastructure

• Improves waste management logging processes with Google Forms, enabling clients to track operations in real-time

Keeping premises tidy and managing waste is crucial to the smooth running of any organization, whether it's located in a warehouse depot, an office, or a school building. To stay ahead in a competitive market, French cleaning company Euroclean offers specialized solutions for all these scenarios, including cleaning services for the food industry, hospital environments, and the removal of chemical waste products.

"The big challenge for us is reactivity: if a customer isn't happy, we need to be able to respond immediately. Problem solving on the go requires a lot of real-time communication, so we want an IT infrastructure that's flexible and helps us collaborate." - Jean-Marc Meunier, Managing Director, Euroclean

"Our services are extremely comprehensive," explains Jean-Marc Meunier, Managing Director of Euroclean. Operating for over 35 years, Euroclean has built its client base by putting customer satisfaction first. Covering the south east of France, from Lyon down to the Côte d'Azur, it has 250 employees and several offices around the region to stay as close as possible to its customers.

To help its workforce move faster and eliminate time-consuming maintenance tasks, Euroclean wanted to decommission its on-premises data servers and migrate to cloud-based productivity tools. Working with implementation partner GoWizYou, migrating to Google Workspace with a hosting environment on Google Cloud Platform (GCP) provided the comprehensive solution it needed.

"The big challenge for us is reactivity: if a customer isn't happy, we need to be able to respond immediately," explains Jean-Marc. "Problem solving on the go requires a lot of real-time communication, so we want an IT infrastructure that's flexible and helps us collaborate."

Migrating to Google Workspace and GCP for greater flexibility

Committing to licensed software often requires upfront investment, with little to no flexibility. Euroclean's previous productivity software required frequent updates and costly licensing upgrades. As Euroclean doesn't have a dedicated IT team, Jean-Marc had become frustrated with the time-consuming task of keeping infrastructure up-to-date. He decided to look for a more flexible and integrated solution that would enable employees to easily access software outside the office.

"Instead of writing information down manually, agents enter data about the materials they've processed using a Google Forms questionnaire on their mobile. With Google Forms, logging those details takes seconds rather than minutes, and the information is more accurate as it doesn't have to be transcribed." - Jean-Marc Meunier, Managing Director, Euroclean

Thanks to Google Workspace, Euroclean employees can now communicate on the go, around-the-clock using Gmail, Calendar, and Google Chat through their mobile devices. They can also use Drive, Docs, and Sheets. "Our employees move around a lot as their timetables vary, and they rarely have time to come into the office," says Jean-Marc. "Since switching to Google Workspace, we've reduced the number of laptops provided to team managers by around 20 percent, as they can access everything they need through their smartphones."

Since migrating, Euroclean has put into place a new quality control system using Forms that employees can also access on the move. "Instead of writing information down manually, agents enter data about the materials they've processed using a Google Forms questionnaire on their mobile," says Jean-Marc. "With Google Forms, logging those details takes seconds rather than minutes, and the information is more accurate as it doesn't have to be transcribed." The data is then automatically transferred into a Sheets file and used for calculations and graphics, enabling clients to follow the waste management process as it happens.

Euroclean wanted to decommission its on-premises servers, so GoWizYou helped it to migrate its industry-specific software to GCP, using virtual machines hosted on Compute Engine. With the click of a button, additional machines can be added when needed, and there's no longer any need to invest in new hardware when upgrades are required.

"When Google updates its processors at the data center, we immediately benefit from the improvements in performance," says Jean-Marc. "The machines are accessible from anywhere, and it has eliminated the risks of fire and vandalism associated with the physical servers that were located in our offices."

Building integrated Google solutions with GoWizYou

In addition to helping Euroclean decommission its servers and migrate its workforce to Google Workspace, GoWizYou helped to provision Chromebooks and Chromeboxes to replace Euroclean's previous hardware.

"The most important gain for me is time. We used to spend hours every week on IT problem solving. Now, that time is dedicated to constructive tasks such as building and implementing the new quality control solution. That means we're actively improving the services we offer." - Jean-Marc Meunier, Managing Director, Euroclean

"One of the things that differentiates us from other support providers is that we're able to offer an integrated service, supplying hardware as well as training, change management advice, and ongoing IT support," explains Patrick Le Roux, President and Co-founder at GoWizYou.

Euroclean now outsources its IT management to GoWizYou associate Sylvain Claudel, who works as an integrated member of the Euroclean team. "The collaboration works really well, we communicate with Sylvain over Google Meet and he looks after our internal IT development," says Jean-Marc.

Improving services and preparing for growth

Since migrating to Google Workspace and GCP, Euroclean has seen a rise in turnover of 14 percent, a number that keeps on growing thanks to the company's increased capacity to respond quickly and qualitatively to demand. It's also been able to significantly reduce the amount of time spent on solving maintenance issues. "The most important gain for me is time," says Jean-Marc. "We used to spend hours every week on IT problem solving. Now, that time is dedicated to constructive tasks such as building and implementing the new quality control solution. That means we're actively improving the services we offer."

Euroclean is now looking to consolidate its use of Google Workspace, putting into place a new customer feedback tool using Forms to capture customer satisfaction ratings. It's also looking at implementing new collaborative tools such as Jamboard**. "We use Google Meet a lot for meetings between offices where we need to share our screens, so Jamboard could be really useful for sharing ideas in meetings," says Jean-Marc.

As Euroclean plans to further expand its operations in the coming months, a flexible cloud-based IT infrastructure is the perfect fit for its needs. "Our goal for the future is growth, and thanks to Google Workspace and Google Cloud Platform, we won't have to open up new physical offices in order to achieve that," Jean-Marc explains. "It's going to be much easier to expand to new locations and grow the business without investing in physical infrastructure. On top of this, we don't have to worry about customer calls due to lost invoices anymore; everything from billing to archives is quickly and easily accessible to them."
