Your team's most valuable resource is their time. But Harvard Business Review reports that 71% of senior managers find meetings “inefficient and unproductive.” How can your organization make meetings more impactful? Google Workspace with Gemini helps teams of all sizes get more done before, during, and after meetings — removing friction and inefficiencies, so discussions turn into decisions and project moves forward.

Teams that use Workspace are already seeing return on their investment. According to a new report by Hypothesis Group, organizations leveraging Google Workspace with Gemini see advantages over Microsoft 365 users in overall productivity (+10%) and return on investment from AI (+15%). Here’s how our latest Gemini features in Workspace will extend similar benefits to meetings and team collaboration.

Before the meeting: schedule faster

Workspace with Gemini makes it easier to get the right people in the meeting.

When you can't see someone's calendar, scheduling a meeting often means a string of back-and-forth emails to find a free window. Built with Gemini, Help me schedule in Gmail solves the hassle of coordinating meetings with customers, partners, and vendors. It recognizes when you're trying to set up a meeting and automatically suggests times that work based on your Google Calendar and the email's context — minimizing the back-and-forth process of emailing to lock down a time. This feature currently only supports scheduling between two individuals, with support coming soon for taking into account your colleagues' availability.

Scheduling meetings with your team is also faster with Gemini in Calendar. When you're scheduling a meeting, Gemini can suggest the best times based on attendees’ availability. If a proposed time doesn't work, Gemini automatically identifies an alternative time when everyone's free, so you can reschedule with a single click. If no slots are available, you will see time slots that accommodate most attendees or conflicts that might be easier to move. This feature is rolling out to customers in the coming weeks.

By simplifying scheduling, Gemini in Calendar helps teams shift their focus from organizing meetings to preparing for the actual conversation.

During the meeting: boost focus and engagement

Gemini in Google Meet supports the meeting in real time, so everyone can participate fully and stay focused on the conversation rather than the logistics.

With Take notes for me in Meet, Gemini automatically captures the discussion and action items, freeing everyone to fully focus on the conversation. AI note-taking has been a huge value for customers and we’ve seen usage grow more than 13x since the beginning of the year. If you join a meeting late or miss a beat during fast-moving discussions, simply use Ask Gemini in the side panel of Meet to catch you up or clarify key points without interrupting the conversation.

Language differences can be a fundamental barrier to connecting with colleagues, vendors, and customers. Speech translation in Meet breaks down language barriers in real-time, preserving each speaker’s voice and tone to make sure the conversation stays authentic. And translated captions can also help everyone stay engaged, despite language differences or their ability to hear the discussion.

Meeting time is precious. By handling note-taking, catch-up, and translation, Gemini in Meet helps teams stay engaged and aligned throughout any discussion, on any device, from anywhere.

After the meeting: move work forward

Google Workspace helps ensure teams can keep up the momentum even after the meeting ends.

When you use Take notes for me in Meet, Gemini automatically sends meeting notes, transcripts, and suggested next steps to Gmail and attaches them to the Calendar invite, so all participants have access to them immediately after the call. Continuous meeting chat automatically preserves your discussion in Google Chat, making it easy to reference files later and pick up exactly where you left off.

It’s also easier than ever to share relevant emails, like meeting notes, to Chat, gathering all materials in one accessible, shared place to reduce searching and context switching. This means that key decisions made during the meeting don't get lost after the meeting ends.
