With its interconnected, cloud-native tools, Workspace provided the flexibility and scalability Trimble needed to modernize its operations. In just two months, the company migrated over 9,000 employees in more than 40 countries to the platform. By consolidating tools like Google Calendar, Chat, Drive, Gmail, Meet, and Sheets into one integrated ecosystem, Workspace gave employees access to a single platform for collaboration and communication, regardless of geography or function.

For example, before Workspace, Trimble faced inefficiencies caused by a patchwork of video conferencing tools. The use of multiple platforms created confusion, added unnecessary costs, and slowed collaboration between global teams. Switching to Meet helped Trimble streamline meetings for its workforce of more than 12,000 employees.

Meet is now the backbone of Trimble’s communication strategy, powering 1.5 million calls annually, with hundreds of dedicated Meet hardware setups across Trimble’s offices and facilities. Employees increasingly prefer virtual meetings powered by Meet over traveling or hosting in-person sessions. Features such as real-time captioning, automatic translations, machine learning-based noise removal, and light adjustment create a professional, inclusive meeting experience for participants worldwide.

"Google Meet just works," says Liz Mitchell, workspace communications and training lead specialist at Trimble. "It’s integrated into everything we use, and it’s a standard part of our acquisition process."

Trimble also uses AppSheet to enable employees to easily interact with data stored in Google Sheets. The tool’s simplicity and no-code interface empowers users without coding experience to build applications in just a few clicks to support their daily tasks.

For example, the treasury team previously copied information from Sheets to send through email, then manually entered new data once they got a response. AppSheet automates this process, allowing direct data input and eliminating manual cutting and pasting.

"People are blown away when they realize they don’t need to be a developer to create an app that simplifies their jobs," Krook says. "All it takes is 90 seconds — I know, because I timed it."

Workspace has unified a previously complex communication process, enabling collaboration across business units at a global scale. With its intuitive interface and capabilities tailored for hybrid teams, it continues to drive Trimble’s focus on modern, agile workflows.

Trimble’s recent adoption of Google Vids has opened new doors for creativity and efficiency across the organization. Vids puts simple, accessible video production tools directly into the hands of employees, transforming how Trimble communicates, trains, and collaborates.

"Vids is empowering employees everywhere," Mitchell says. "It takes the pressure off our marketing and brand teams, allowing employees from all departments to easily create and share video content."

With its intuitive interface and powerful features, Vids enables teams to produce polished, branded video content without requiring extensive technical skills or heavy reliance on centralized teams. This democratized approach to video production has sparked creativity in ways the company hadn’t anticipated. For instance, employees now use Vids to replace lengthy meetings with short, focused videos for project proposals, updates, and summaries. This asynchronous approach has saved time while enabling stakeholders to arrive at meetings better informed and ready for discussions.

Vids has also been approved as a tool for Trimble’s global Learning Management System, helping the company create engaging, interactive training materials for internal teams and customers. For example, employees can create videos to simplify processes like hardware assembly, equipment troubleshooting, and field repairs, making training more effective and dynamic.

One of the most impactful features of Vids is the voiceover tool, which allows users to generate professional narration by simply typing a script. This feature has proven especially valuable for global teams, enabling employees to produce high-quality voiceovers without concerns about language barriers or technical proficiency.

"Vids is a game-changer," Mitchell says. "It’s accelerating everything we’re doing and making high-quality content accessible to employees across the globe."

Now with Gemini included in its Workspace license, Trimble has integrated AI into everyday workflows. During implementation, teams received custom training based on their specific roles to demonstrate how Google Workspace with Gemini could directly improve their day-to-day tasks. To drive adoption of Gemini, Trimble also provided hands-on workshops and created dedicated Chat spaces for knowledge sharing. These forums have become hubs for collaboration, where employees ask questions and share creative solutions with their peers.

Since rolling out Gemini to all employees globally, Trimble has seen strong engagement, with almost 8,000 employees actively using Gemini in the first two weeks and an average adoption rate of 77%. This underscores the workforce’s appetite for tools that simplify tasks and add value.

"Gemini enables people to extend their use of our core tools in ways they never thought possible," Krook says. "We’re seeing an uptick in engagement across every part of the Google Workspace ecosystem."

Before Gemini, employees often avoided tasks like creating Sheets formulas or large text-based documents due to their complexity or time requirements. Now these tasks are as simple as typing a natural language command. For instance, during a training session on Gemini in Sheets, users who once found spreadsheets daunting were able to create complex calculations with ease. "People were messaging us mid-training to say this was literally changing their lives," Krook explains.

Similarly, Gemini automates processes across teams, such as summarizing long documents, generating content, and planning projects. This allows employees to focus their energy on high-value tasks that require human insights.

"We're using the worst version of all these tools that we will ever use, and the way we use them today is not what we did last year or what we'll be doing next month," Mitchell says. "The technology is changing so rapidly, and it's exciting to see that change happening in real time."
