Add a task without leaving Gmail

Turn an email into a to-do so it doesn’t slip through the cracks. After you create a task from an email, you can easily click back to the original message to remind yourself about the context.

When you’ve created a space in Google Chat for your team project, you can assign tasks to teammates in the space, set deadlines, and track progress. It’s a simple way to stay organized and keep your team moving forward together.

Set reminders to stay on track

You can add a date or time to your task to get reminders to complete it. For extra help with staying on track, nudges will surface reminders that will continue to prompt you until a task is completed.

Set tasks to repeat automatically

If you have recurring tasks – like sending a weekly recap or submitting a monthly expense report – you can set them to repeat daily, weekly, monthly, or annually. Stay on top of your ongoing to-dos without manually adding them each time.

Separate task lists are set up for Project Orion, Planning, and Admin. A task called “Confirm meeting time” has been starred within Project Orion to make it easier to find.

Use separate task lists for different jobs, topics, or clients. Plus, prioritize your tasks by marking the most important ones with a star so they’re easy to find.

  • You can access Google Tasks in a few different ways. You can visit tasks.google.com in your web browser, or quickly access it in the side panel of Workspace apps like Gmail, Calendar, Chat, and Drive. You can also create a task in Google Calendar by clicking on an empty spot on your calendar, or by opening Tasks in Calendar in the top right of Google Calendar.   • Yes! As long as you're signed in with the same Google Account, your tasks and task lists will automatically sync across your computer, phone, and tablet devices.

  • Tasks with dates will automatically appear on your Google Calendar. You can also create and manage tasks directly in Google Calendar, helping you see your commitments and to-dos all in one place.

  • To enable notifications for a task, add both a specific date and time. Tasks with dates and times will automatically appear on your Google Calendar. On web, Google Calendar will send notifications based on your notification settings. On mobile, you will get push notifications from your phone.   • You can organize your tasks in many different ways. Create separate task lists for different projects or categories, like “Work” or “Personal”. For larger tasks, you can break them down into smaller steps by adding subtasks under a main task. Within a list, you can manually reorder tasks by dragging and dropping them into your preferred order. Star important tasks to help them stand out. Learn more about how to organize tasks.

  • The Gemini app can access Workspace apps like Google Tasks to help you manage your day. Ask the Gemini app to add, edit, and show your tasks and reminders from Google Tasks. You can even take a picture of a handwritten note in the Gemini app, and Gemini will help to log it in Google Tasks.
